The Role
As a member of our Finance & Accounting Team, you will be an integral part of a thriving and fast-growing organization and have autonomy to make an impact to the financial and control processes. The primary responsibilities of this role are to support the operations of the business through the accounts receivable functions.
Additional responsibilities include participating in the preparation of sending invoices for all revenue transactions and participate in collecting receivables timely. This role will have direct contact with senior-level management and partnering with various departments and foreign subsidiaries throughout the QuintEvents organization which requires strong interpersonal communication skills, both written and verbal.
While this role will be based at the corporate headquarters in Charlotte, NC, hybrid and remote working accommodations are available for the right candidate. This role reports to the Accounts Receivable Manager but will have ample opportunity to work directly with the Corporate Controller regularly.
Responsibilities
- Monitor Accounts Receivable inbox and Helpdesk, ensuring prompt and accurate handling of requests with necessary documentation maintained.
- Collaborate closely with the Accounts Receivable Manager to monitor and track collections, follow-up on overdue accounts, and take appropriate actions to resolve outstanding issues.
- Update CRM and financial management system for receivable transactions inclusive of invoices issued and payments received.
- Process invoices and payments in a timely and accurate manner.
- Assist in reconciling customer accounts, ensuring accuracy and up-to-date information in accounts receivable for both the CRM and financial management system.
- Proactively identify and report any issues or trends that require attention, maintain accurate records.
- Assist in completing vendor application forms or any accounts receivable related documents received from customers.
- Collaborate with internal teams to maintain accurate customer account information.
- Collaborate with Accounts Receivable Manager and internal teams to manage disputes and cancellations effectively, utilizing comprehensive evidence to strategically challenge disputes and maximize chances of winning.
- Seek opportunities to improve efficiency and accuracy through documented process improvement.
- Perform other accounting duties as assigned.
Requirements
- Bachelor’s degree in accounting or related discipline with a basic understanding of GAAP
- Experience in the sports, entertainment and hospitality industries would be highly relevant for the role but is not required.
Skills/Abilities
- Basic understanding of US GAAP, accrual accounting, and accounts receivable
- Ability to demonstrate flexibility, agility and embrace change within a dynamic environment in a rapidly growing company.
- Requires good communication skills, both verbal and written and must be able to interact with internal and external customers and various levels of management.
- Experience with exchange rates and working in various foreign currencies not required but a plus.
- Knowledge of or ability to learn Sage Intacct or other related financial software.
- Proficiency in Microsoft Office Suite with intermediate-level skills in Excel.
