Fund Development Administrative Assistant Position Summary:

This position is the primary support person for the Alpena Fund Development department and is solely responsible for providing organizational and clerical support in accordance with department objectives, administrative guidelines, policies and appropriate standards. This position is also responsible for recording donations, assisting with events, answering requests, and disseminating information appropriately.

A Day in the Life as an Administrative Assistant:

(40%)* Perform database management; such as donor entry, reporting and management and providing requested constituent information.

(40%)* Responsible for event management by attending and offering support for all Development Council meetings, function and events.

(20%)* Assists in Public Relations internal and external communications by preparing press releases and photos for MyMichigan Health Foundation donations and events.

Requirements We Are Looking For:

  • High School Diploma or GED required.
  • Associate’s Degree preferred.
  • Proficient in Microsoft Office applications, social media, and the ability to adapt and learn new technology required.
  • Must be detail oriented.
  • The ability to multi-task and adapt to changing environments, while staying highly organized is required.
  • Strong customer service skills required and must be able to adapt and communicate with a variety of audiences.
  • Participates in continuous quality improvement as required by the Medical Center job description.

OTHER DUTIES AND RESPONSIBILITIES:

  • Daily processing, input, and posting of all contributions into Raiser’s Edge to insure proper records are maintained on gifts received to meet internal and external auditing requirements.
  • Maintains record of gifts received using Raiser's Edge software. Creates reports and maintains database for various uses.
  • Receives and deposits cash, checks, and credit card gifts.
  • Tracks, requests, and records pledge payment and renewal reminders.
  • Maintains demographic information for the Development Council volunteers; arranges meeting rooms and amenities; send notices and makes follow-up phone calls to ensure attendance.
  • Attends all Development Council meetings, records attendance and provides written meeting minutes to the Director of Development and to the Development Council members in a timely manner.
  • Assists and supports the Development Council members in their roles and fundraisers and ambassadors for the Medical Center.
  • Participates in and helps to plan and implement all activities handled through the department such as special events and seminars, and donor and recognition events.
  • Performs a variety of clerical projects including data entry, word processing and creating and maintaining computer reports.
  • Writes and coordinates media releases and photo opportunities with the marketing manager.
  • Assists the Fund Development Director in carrying out other duties and performs related miscellaneous duties.
