The Administrative Coordinator provides administrative support to all accredited programs within the School of Arts & Humanities. The individual in this position is responsible for comprehensive records management related to budget and contracts, supporting regular school operations such as course scheduling, communicating with faculty and students, and other operational aspects of the School under the direction of the Dean.
RESPONSIBILITIES:
1. Coordinate the preparation and tracking of contracts for adjuncts faculty and faculty overload contracts for full-time in the School.
- Calculate the salary for each adjunct based upon credit load;
- Submit the adjunct contract information to the Dean for approval and then to the Provost's office for the contracts to be issued;
- Determine that each full-time faculty member has a full load and calculate the salary if there is an overload;
- Issue contracts for Arts & Humanities full-time faculty overloads.
2. Track income and expenditures in all School funds and report on their status.
3. Develop and maintain electronic recordkeeping systems (e.g. databases, program documents, Excel spreadsheets, etc.)
4. Maintain the Access database for student information, faculty and contract information, and other applications.
5. Represent the school and the Dean both on-campus and in the community. Interact with campus offices regarding campus and school issues.
6. Draft reports, letters, proposals, and other documents as needed.
7. Field academic questions, complaints, and inquiries from all constituencies (students, staff, faculty, administrators, parents) for the Dean of the School of Arts & Humanities and provide referrals and updates as necessary.
8. Attend regular School of Arts & Humanities and Department Chairs meetings and take minutes.
9. Coordinate the development and inputting of course schedules for departments within the School; faculty, department, class offerings, room assignments.
10. Maintain archival information for the School of Arts & Humanities programs and policies.
11. Supervise Work Study students.
12. Coordinate special events a designated by the dean

Job Requirements: *
Required Qualifications:
- At least four years increasingly responsible office/administrative support experience in a fast-paced environment
- Prior experience supporting senior management where anticipating needs and exercising discretionary judgment was necessary
- Ability to organize work systems and procedures in a complex environment
- Flexibility, creativity, initiative, excellent problem-solving skills, good judgment, and effective interpersonal skills
- Excellent written and oral communication skills
- Ability to interact effectively with diverse constituents, including students, faculty, staff, administrators, and alumni as well as the community
- Demonstrated ability to maintain a high level of confidentiality
- Intermediate level computer skills using a Windows based operating system, specifically MS Word, Excel, Outlook and PowerPoint
- Experience in data analysis using spreadsheets and databases
Preferred Qualifications:
- Bachelor's Degree
- Experience working in an academic environment
- Experience planning and implementing all aspects of programs and events
- User experience with databases such as Banner, Access, and SharePoint
- Experience monitoring budget and expenses
- Supervisory experience
