Old Sturbridge Village is seeking a Part-Time Family Enrollment Assistant at the location of the Worcester Cultural Academy an innovative new school that will serve grades k-8. This part-time (approximately 20-25 hours per week) school-based position with the potential to convert to a full-time role, which assists with all front office and operations functions necessary to start a high-performing school. Supporting the founding team’s vision, the Family Enrollment Assistant will assist with the implementation and maintenance of clear operational systems and a supportive school environment. This includes all family communication, answering phone calls, e-mail and texts, transportation changes, and support with attendance, recruitment, and enrollment. The Family Enrollment Assistant serves as a key member of the school’s office team, ensures that the school’s operations meet high standards of operational excellence, and families are offered outstanding customer service. This role will require some evening and weekend work, as well as local travel within the Worcester community. The Family Enrollment Assistant will be able to work remotely when not at the school building or out in the community. The position reports to the Director of Charter School Strategy and Planning. The hourly rate for this positon is $20 per hour.

Qualifications

  • Bilingual (English/Spanish)/bicultural encouraged to apply.
  • Knowledge and experience working cooperatively with diverse communities, including those in Worcester
  • Ability to work cooperatively with diverse groups.
  • Work experience, preferably in education and/or customer service
  • Strong communication and time management skills; ability to effectively backwards plan, juggle multiple priorities with great attention to detail, and deliver consistent and timely results
  • Sense of humility, customer service mindset, and shows urgency and the ability to proactively solve problems and make decisions quickly
  • Team player with strong interpersonal and stakeholder management and relationship building skills
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
  • Ability to be calm under pressure, especially in difficult conversations with families and staff
  • Excellent organizational, verbal, and written communication skills
  • Excellent computer skills, including Microsoft Word, Microsoft PowerPoint, Microsoft Excel; Google Drive, Google Docs, and Google Sheets
  • Desire to continuously learn and increase effectiveness as a professional
  • Unwavering willingness to go above and beyond to meet the needs of students, families, and staff

Essential Duties

  • Accepts deliveries and meets visitors at the school building
  • Supports enrollment-related family communications and events at the school
  • Welcomes families to the school
  • Promotes diversity, equity, inclusion and accessibility
  • Manages all phone calls and emails coming into the school
  • Manages and organizes the mail and packages for the school
  • Maintains a neat and organized school front office
  • Ensures all family facing materials are readily available
  • Supports application verification calls and update application system as needed
  • Schedule family meetings with appropriate team members
  • Manage the school enrollment lottery process
