ABOUT THE OPPORTUNITY

The Business Associate (BA) is a finance and administrative support position in a unit that drives inter-departmental collaboration around technical expertise, organizational learning and knowledge management within Internews. The Technical Leadership Unit (TLU) is responsible for providing expertise to our projects around the world, in health and humanitarian programming, environmental journalism, technology, countering disinformation, media business and sustainability, gender, even film making. The TLU works to collate and document Internews best practice and to find ways to disseminate it throughout a highly decentralized organization.

The BA reports to the Budget & Finance Manager of the TLU and works with a distributed team of colleagues based in Washington DC and around the world. The BA works closely with program staff to assist in supporting financial management and reporting, budgeting, expense entry, and administrative tracking.

Internews has US offices in Arcata, CA and Washington, DC which support a hybrid workforce with staff working remotely, fully in-office or partially remote. Ultimately this position may work remotely from the US, partially remote from our Washington, DC office, or fully in-office for candidates based in the DC area.

DAY-TO-DAY TASKS will include:

The following duties and responsibilities are inclusive of administrative and finance support to the Budget & Finance Manager and to all TLU technical teams.

  • Ensure the smooth processing of contracting and payment requests and financial compliance, communicating regularly with the TLU Budget & Finance Manager and headquarters' Accounting and Administration teams.
  • Prepare invoices, wire transfer requests, expense reimbursements, and completing credit card reconciliation on a monthly basis.
  • Compile forms and documentation related to subgrants, including payments and reports.
  • Support the TLU Budget & Finance Manager with indirect budgets, program budgets, updating spending projections, conducting budget meetings, and correcting/updating budget structures and formulas as needed.
  • Maintain monthly expense trackers and projections for departments, project work orders, and various other finance tracking needs in coordination with Project team.
  • Prepare HQ recodes and reviews program staff recodes.
  • Support proposal development for new projects, including supporting the development of draft budgets and budget narratives.
  • Significant communication and interaction with all TLU teams, program staff and HQ Accounting, People & Culture and Grants & Contracts Departments.
  • Liaise with Finance Reporting team and TLU Budget & Finance Manager on financial reports, invoices and payment requests.
  • Support with People & Culture administration, including hiring forms, interview scheduling, processing Personnel Service Contracts (PSCs), invoicing and tracking payments, etc.
  • Coordinate travel logistics, assist with visa applications, and arrange accommodations for TLU team members.
  • Support with coordinating fellowships (travel, booking, expenses, applications) as requested.
  • Arrange virtual meetings, including organizing meetings, webinars, and other events across time zones with international partners and fellow colleagues, and documentation of meetings.
  • Provide clerical and administrative support to management as requested.

QUALIFICATIONS WE’RE LOOKING FOR:

Required

  • Relevant university degree OR equivalent lived/professional experience.
  • Up to two years’ prior experience working in a fast-paced, distributed office environment, preferably with in the international development or non-profit sector.
  • Professional-level fluency in English (written and spoken).
  • Demonstrated proficiency in Microsoft Office, particularly Excel.
  • Experience with processing payments, invoices and other basic financial skills, including building and using spreadsheets and trackers.
  • Excellent written and oral communication skills.
  • Excellent organizational skills and attention to detail.
  • Proven ability to balance and effectively prioritize multiple assignments and deadlines.
  • Proven ability to operate in a multicultural and remote work environment.
  • Proactive willingness to communicate any challenges to supervisor and ask for help.
  • Optimism, a sense of humor, and excitement at supporting and elevating voices of people across the globe.

Preferred

Note: Candidates who do not have these preferred qualifications, but are interested and willing to learn, are encouraged to apply.

  • Familiarity with Enterprise Resource Platforms (ERP) and/or financial planning software.
  • Familiarity with Office 365 tools, including Outlook, Teams, SharePoint and Yammer.
  • Experience preparing expense reports and budgets.
  • Experience with financial management and familiarity with USAID rules and regulations.
  • Proven grant proposal and budget development experience.

The annual salary range for this position is US $50,800 – US $63,500.
