High School Diploma or GED

EXPERIENCE:
Two to three years prior secretarial/clerical experience.


Position Function/Purpose

To assist analysts and other members of the Student Information Systems Department with data entry, filing, organizing, preparing documents and files or labels. To maintain all aspects of the district student street directory.


Major Responsibilities

  • Maintain, validate and document changes to the street directory in the SIS database and ensure proper neighborhood codes, feeder schools, and data integrity is upheld.
  • Review and correct issues TEA Census Block data retrieval.
  • Coordinate with City of Midland, Midland County, 9-1-1, US Postal Services, and any other agencies necessary to inquire, verify, and finalize address verifications.
  • Coordinate with the district GIS/CAD Tech to verify and pinpoint locations of address discrepancies.
  • Assist parents, campus and district personnel in identifying appropriate boundary and school information upon request.
  • Assist in expediting the identification and entry of new addresses to aide parents and campus staff in the enrollment process.
  • Assist SIS analysts, PEIMS Coordinator and other department staff with data entry in all SIS areas including but not limited to attendance, staff, discipline, student enrollment, grades, student demographic, scheduling, etc.
  • Assist campuses with report requests as needed.
  • Review weekly PEIMS reports for all areas including but not limited to attendance, staff, discipline, student enrollment, grades, student demographic, scheduling, etc and cleanup data discrepancies.
  • Maintain the Student Information Systems attendance calendar data including operational minutes which directly impacts PEIMS reporting and funding.
  • Maintain multiple departmental emails.
  • Maintain campus staff in the SIS system upon employee transfers and terminations
  • Maintaining Master Logs for all campuses tracking daily attendance.
  • Maintain Family Access Portal accounts in the Student Information System.
  • Assist families with Skyward Family Access and online enrollment.
  • Assist other departments within the district during heavy enrollment times. (Apply Midland/Student Services)
  • Receive calls and answer questions concerning SIS or direct questions to the appropriate individual.
  • Dispense SIS forms and answer any questions concerning them.
  • Receive and process inner office mail.
  • Handle backup duties when departmental secretary is unavailable
  • Maintain office supply inventory.
  • Coordinate meeting/training locations and times.
  • Submit work orders for department staff.
  • Other duties as assigned.


QUALIFICATION REQUIREMENTS

1. High School Diploma or GED

2. Previous clerical experience

3. Experience with computerized payroll system and mainframe data entry

4. Work and relate effectively with people

5. Typing and calculator skills

6. Excellent verbal and telephone skills

7. Self-motivated
