Essential Job Functions

- Advanced phone skills / multiple switchboard

- Answers emails with advanced email etiquette

- Answer inquiries about our organization, our procedures and our philosophy.

- Greets visitors with a warm and friendly smile and makes sure they are comfortable.

- Introduce visitors to animal care staff for meet and greets.

- Ensure the reception area is ALWAYS tidy, organized and sanitized.

- Knows basic IT skills

- Post, schedule and interact with all social media related affairs.

- Advanced social media marketing tactics to get the animal adopted (Facebooks, Instagram and TikTok)

- Gather personal information from clients.

- Prepare paperwork for all adoptions, fosters, stray and owner surrenders.

- Basic data entry.

- Perform basic filing and clerical duties.

- Take and relays messages.

- Update appointment calendars

- Other duties as assigned.

Required education, experience, knowledge, skills and abilities

- 2+ years increasingly responsible administrative experience and advanced customer service skills

- Highly motivated, professional and an enthusiastic self-motivator.

- Willing to grow and follow all protocols

- Required holiday and weekend availability.

- Valid California Driver’s License

- Ability to communicate professionally with the public on a daily basis.

Physical Requirements

- Must be able to work while standing or sitting for at least 8 hours

- Must be able to utilize both hands for keyboarding and able to type 70 WPM

- Must be able to lift and carry up to 35 lbs. Repeatedly throughout the day without help.

- Must be able to bend and kneel repeatedly.

- Must be able to see fine detail in a variety of situations.

- Must understand animal behaviors and knows when to approach the animals

- Must know how to age animals based on teeth

- Must know how to handle animals

- Must not be scared of animals

Technical Requirements

- Technical proficiency with PC platforms, as well as Microsoft Office and Google Drive.

- Must be able to answer and respond to busy phone lines

Preferred

Two or more years’ experience in a veterinary clinic, veterinary hospital, and/or animal shelter or control facility. Bilingual/Spanish is a plus!

Work Environment

- The office and operations of this department can be high stress with multiple interruptions and very busy at times. Weekend and holiday work are required. Candidates must be flexible with schedule changes and short notice requests.

- We need the front desk staff to be many things to many people; to the public, to the animals and to other staff members.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
