We are currently seeking a Document Control Specialist to join our team! The ideal candidate will be extremely self-motivated, possess a high attention to detail, and work closely with hiring managers, while maintaining a high degree of responsiveness and open communication.
- Please note: This is a temporary role that will end upon project completion.
Purpose:
Responsible for managing company documents while ensuring their accuracy, quality and integrity. Helps the company adhere to record retention policies, safeguard information and retrieve data more effectively.
Responsibilities:
- Store, manage and track company documents.
- Scan, image, organize and maintain documents, adhering to the company's document lifecycle procedures, and archive inactive records in accordance with the records retention schedule
- Control the retrieval of documents.
- Help project managers develop and maintain documents such as meeting minutes, drawings, specifications, approvals and related items.
- Responsible for training employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery.
- Assist with file migrations and audits, and perform administrative tasks as needed.
- Self-directed, the ability to work independently, and being highly-motivated.
- Work in a fast-paced and deadline driven environment, detail-oriented, dependable and trustworthy since they come in contact with complex and sensitive documents.
- Ensures the adherence to company safety and health standards, policies and procedures by monitoring personnel, machinery and work environment.
- Immediately notify supervisor and/or Safety Manager of any safety and health concerns and problems.
- Performs other duties as assigned.
Minimum Requirements:
- High school degree or equivalent required.
- Certificate, associate degree or bachelor's degree required.
- Ability to prioritize multiple tasks, manage time well, multitask and troubleshoot.
- Strong interpersonal, communication and customer service skills
- Regularly communicate with internal and external business partners.
- Strong sense of responsibility, initiative and teamwork.
- Advanced PC skills are expected for (Spreadsheets, Word Processing, Data analysis, MRP).
- Knowledge and experience of accessibility tools.
- Ability to follow clear instructions and provide prompt feedback or results.
- Ability to work schedule as assigned.
