POSITION: Elementary Secretary/Treasurer
EFFECTIVE DATE: August 9, 2023
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned
- Types correspondence, letters and memos, purchase orders, forms, etc.
- Responds to routine questions, sets appointments or routes calls to appropriate person
- Resolves bus scheduling problems and other issues as they arise
- Receives visitors, new parents, and students; answering questions; resolves student problems
- Serves as confidential secretary to the principal and assistant principal
- Acts a liaison between school and community, principal, parents, staff and students
- Operates and maintains office equipment, requests service when needed
- Attends open house, registration and Parent Fair
- Distributes daily mail/checks
- Maintains calendar of events for teachers, students and staff
- Assists with school picture day, parent/teacher conferences, and awards programs
- Utilizes school wide communication system
- Maintains vendor file including W-9’s, vendor numbers and responds to vendor inquiry regarding payment.
- Reviews, processes and pays all authorized invoices. Ensures timely entry of data to automated system
- Assist with bi-annual audit
- Prepares, verifies and distributes checks; files copies
- Balances bank statements monthly
- Balances fund report to bank statement monthly
- Receives and records payments for book rental fees on school’s computer system throughout the year
- Sends out invoices for unpaid book rental fees in a timely fashion
- Responsible for school registration fees
- Responds to expenditure questions from principal and members of the district business office
- Escorts and records substitute teachers
- Orders, processes, and maintains accurate inventory of office supplies and equipment
- Maintains and prints report cards and quarterly honor roll
- Processes payroll data and attendance for all school employees and maintain accurate, up-to-date files
- Prepares, distributes, files records/reports related to purchasing
- Prepares and maintains reports for State Board of Accounts
- Prepares elementary school ECA budget
- Prepares and enters on Gateway annually ECA Risk Report
- Prepares monthly cash flow reports
- Maintains Public Official Surety Bond of $100K, cost of bond paid by Corporation
- Maintains satisfactory attendance
- Complies with Corporation Bylaws, Policies and Employee Handbook
- Models Corporation Mission Statement and Fundamental Objectives
