Team Submarine’s Submarine Program Offices are responsible for:
- The acquisition of the OHIO Class replacement and for identifying, assembling, managing, directing, and coordinating the resources required for the R&D, design, construction, Test and Evaluation (T&E) and Live Fire Test and Evaluation (LFT&E) of the COLUMBIA Class. The program is a major defense acquisition program and is of significant political importance with Congress and the Office of the Secretary of Defense (OSD).
- The acquisition of New Construction Submarines and for identifying, assembling, managing, directing, and coordinating the resources required for the R&D, design, construction, Test and Evaluation (T&E), Live Fire Test and Evaluation (LFT&E), and Fleet introduction of the U.S. Navy’s newest class of nuclear attack submarines. The program is a major defense acquisition program with a total life cycle cost of approximately $336B. Additionally, successful improvement of the Class’s capabilities is of significant political importance with Congress and the Office of the Secretary of Defense (OSD).
- The SSN(X) Office is responsible for the acquisition and design of the future fast attack submarine and for identifying, assembling, managing, directing, and coordinating the resources required for the R&D, design, construction, Test and Evaluation (T&E) and Live Fire Test and Evaluation (LFT&E) of the future submarine. The future Attack Submarine will be designed to retain multi-mission capability and sustained combat presence in denied waters with a focus on greater speed, stealth, and horizontal payloads and salvo rates.
Serco-NA is seeking a motivated Executive Assistant to provide direct support to the construction branch of one of our customers with the U.S. Navy in the Washington, DC area.
Responsibilities include but are not limited to:
- Analyzing processes and workflows, formulating process improvement recommendations, analyzing technical/programmatic information to ensure a smooth operation of the department, field location, or specific project.
- Researching, assembling, and analyzing facts; and presents oral and written documents of compiled data for senior leadership use in responding to actions which require his/her personal attention.
- Tracking action items to ensure they are complete and on time and meets leadership expectation.
- Developing and implementing office and organizational administrative policies and procedures.
- Maintaining calendar, scheduling of commitments, and reminding senior leadership of obligations.
- Preparing, processing, and maintaining complex paperwork and forms (must have extensive knowledge).
- Coordinating travel and preparing travel documentation to include expense reports.
- Safeguarding sensitive business information, tracking, and delivering time constraint and recurrent tasks using sensitive records, information and data received on a constant basis.
- Spearheading in reviewing administrative and technical documentation for format, editorial, and subject-matter accuracy, and clarity.
- Advising managers and staff on proper company procedures and policies.
- Attending meetings and preparing notes and/or meeting minutes (attention to detail and punctuality is a must).
We are seeking someone who is proactive, motivated, and is an excellent communicator with stakeholders at different levels. You will support a spectrum of administrative tasks, including but not limited to:
- Ensuring correspondence (memoranda, letters, reports, instructions, etc.) are completed accurately and are accomplished in a timely manner in accordance with the Department of the Navy Correspondence Manual and applicable policies. The incumbent will be responsible for distributing 450C correspondence to applicable activities and will maintain distribution mailing lists for various stakeholders/organizations and update, as necessary.
- Working with government and shipbuilder stakeholders to execute Quarterly Production Progress Conference (QPPC) preparations, including compiling/formatting/routing the agenda letter, coordinating attendees, communicating status, and coordinating amongst multiple stakeholders.
- Facilitating other programmatic actions that require coordination between the 450C branches, which will include compiling inputs and working to address inconsistencies to ensure 450C deliverables have a consistent voice and messaging.
- Submitting travel orders and vouchers for senior leadership.
- Managing shipbuilder deliverables sent to 450C/CB via CITIS to better streamline the information receipt and distribution process.
- Performing other administrative duties as assigned.
Qualifications:
To be successful in this role, you will have:
- A current or active DoD Secret security clearance.
- An Associates degree with up to two years of related experience.
- An advanced MS Office skillset to include Outlook, PowerPoint, Word, and Excel.
- An ability to multi-task in a fast-paced environment accepting emergent tasking with little to no supervision and/or direction.
- Demonstrated knowledge in analysis of budget execution data.
- A basic understanding of accountability and reporting of financial data so that all expenditures can be summarized, reported, and paid with no delays.
- Discretion in performing specified work requirements.
- Outstanding written and oral communication skills to communicate effectively and build strong working relationships with a vast team of diverse professionals.
- Attention to detail and the ability to meet tight deadlines, as well as work independently and with sufficient knowledge to present projects to senior management.
- 10% travel required.
Additional desired experience and skills:
- Experience assisting in Business Development initiatives to include proposal efforts.
- Experience providing administrative support to senior/ executive level managers.
- Experience supporting a Navy acquisition program office.
- Experience in the Navy as a Sailor.
