Job description

Provide HR support administratively and has knowledge of and follows established policy and procedures of the community. This position will often lead recruitment and the ongoing development of a quality work force. This position also performs the business office functions in accordance with proper accounting and recording systems and established community procedures and methods.

KEY POSITION SPECIFIC ROLES & RESPONSIBILITIES

Human Resource

  • Ensures the accurate capture of time and time off for effective transfer to the payroll system. Provide status, pay, and leave changes for the Payroll system.
  • Orients new hires and coordinates their onboarding with others for a highly effective first impression and accelerated training time.
  • Helps with the launch and then ongoing execution of HR related programs in many areas – performance management, compensation, PTO and time reporting, new policies, etc. Is a conduit, advocate, influencer and teacher
  • Ensures staff are completing annual training, as required.
  • Communicates benefit related information to employees and vendors / hold open enrollment information seminars (with outside vendors if applicable).
  • Assists employees understanding / enrolling in benefits via the appropriate systems.
  • Sends new enrollment forms, changes and terminations to the appropriate vendor via computer system or hard copy forms.
  • Ensures open position are accurately and timely posted/updated.
  • Proactively targets and ‘mines’ for candidates via appropriate methods such as Indeed, LinkedIn, former applicants and employees.
  • Develops recruiting initiatives and programs (referral programs, job fairs, advertising, community engagement, etc.).
  • Ensures all reference and background checks are completed according to policy and state requirements.
  • Ensures all employee new hire paperwork is complete, accurately filed and organized into employee files, per state/federal law and requirements.
  • Tracks and maintains turnover reporting, exit interviews and other data needed to adjust engagement/retention programs.
  • Prepares for and may lead employee orientation, training, and/or other employee information sessions.
  • Implement required Human Resource programs (examples: employee orientation, mentorship programs, engagement and retention programs, etc.).
  • Keeps an active pulse on employee engagement and morale on an ongoing basis. Assesses immediate needs with management and makes recommendations for communication and actions.
  • Helps in analyzing the data and in communicating results and plans with the site
  • Complete First Report of Injury reports.
  • Post OSHA Annual Report / Compliance & Employment Posters.
  • Performs other duties as assigned.

Business Office Manager

  • Keeps informed regarding current Medicare and Medicaid (and other payer sources) regulations and guidelines.
  • Verifies insurance, Medicare and/or Medicaid benefits and payer information on new admissions.
  • Accurate and timely verifies, bills and collects from all payer sources per established guidelines and/or processes- if not in place, design and implement efficient guidelines/process.
  • Maintains and records daily census - admissions and discharges, payer changes, and room changes- ensures proper documentation is made in the billing computer system.
  • Prepares daily bank deposits and daily posting of deposits into the billing computer system.
  • Conduct monthly A/R meetings with executive director and corporate partners.

  • Attend daily stand-up meeting for census portion and notifies corporate office of changes.
  • Attends and may manage the weekly Medicare meeting.
  • Maintains resident financial files for all current resident accounts with balances.
  • Review of monthly ancillary invoices to verify payer source and amounts due.
  • Follows up on and collects from all past due accounts per established guidelines and/or processes- if not in place, design and implement efficient guidelines/process.
  • Monthly reconciles resident trust account to bank statement.
  • Weekly reconciles resident trust cash box.
  • Assists with gathering information for audits and cost reports as requested by corporate office.
  • Accepts responsibility for accounts receivable outcomes by maintaining DSO that is within the goals of the corporate office.
  • Responsible for month-end close procedures and notifying corporate office of completion.
  • Completes and submits bad debt write-off forms and paperwork to corporate office for approval as necessary.
