Role Description

The Bullfrog Spas name practically means "innovation'" and it's our Marketing team that drives this understanding. We often need to move fast without missing critical details along the way. So, we are seeking a detail-minded, personable, and energetic administrative assistant to support Marketing leadership and the Marketing team, execute a variety of administrative tasks, coordinate communication, and assist with internal events and programs. You will coordinate schedules, plan and execute meetings and events, and provide inter-departmental coordination and support. We need a person with a passion for organization, an eye for detail, and the ability to proactively analyze and respond to needs with first-rate support. You will be a key member of our growing Marketing team and will be able to see your efforts result in program success, an increasingly meaningful brand, and of course many happy relaxed customers.

This position will work closely with our Project Manager supporting our Marketing Department leadership as well as our Demand Generation, Channel Marketing, Creative, and Product Marketing groups and will dedicate some time to supporting our People and Culture team with company events and functions. As a member of a nimble team in an ever-changing market, you won't be bored. We enjoy variety, embrace new challenges, and often jump in on all-hands projects. You'll likely have opportunities to lend a hand in a variety of other business-supporting efforts along the way.

Responsibilities

  • Answer and direct communications
  • Organize and schedule appointments
  • Plan meetings and take detailed notes
  • Assist in the preparation and dissemination of regular reports
  • Maintain a digital filing system and help team members locate files and information
  • Maintain documentation on processes and procedures
  • Order supplies and maintain supplier contact information
  • Book travel, arrange lodging, schedule entertainment, and help coordinate events
  • Provide support during trainings, company functions, and guest visits
  • Act as the point of contact for customers and vendors working with Marketing leadership
  • Work with executive administrative assistants to support senior managers and other company needs

Requirements

  • Strong organizational skills with the ability to multi-task
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment and software applications (MS Office, Asana, MS Sharepoint, MS Teams)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellency in written and verbal communication
  • High School degree
  • Demonstrated experience as an Administrative Assistant, Virtual Assistant, or Office Assistant

Bonus Skills We Like

  • Bachelor's degree
  • Understanding of marketing concepts and how they influence the customer experience

Miscellaneous

As a member of a small but growing team it's expected that all team members occasionally support special projects, internal functions, and events as needed, and, when deemed necessary, assist with any/all company needs, even those not specifically related to the job description.

Job Type and Benefits

This is a full-time position located at Bullfrog International headquarters in Herriman, UT. Salary is commensurate with experience and general expectations of the position.
