Order Management Specialist
Job description
SALARY: $20.00 to $24.50 HOURLY
SUMMARY
The Order Management II is responsible for supporting the Sales team through the customer order life cycle from order management, customer operations, and service and logistics, while also providing administrative support for projects and initiatives.

Account Support
Responsible for all order entries for sales teams assigned
Daily communication with the customer and internal teams where needed
Provide insight and problem resolution internally and externally
Communication with our internal departments and escalations where needed for urgent product receipts, product put away and product releases
Support Sales and Sales Support Team with requests to accommodate any customer service needs (reports, emails, research, invoices etc.)
Qualify, validate, and process RMA’s and post-credits
Communicate to Sales and Sales Support Team ETA’s related to backorders and immediate notification of discontinued items
The process required daily and weekly reports
Process weekly open order reports to customers as requested
Provide various reports back to customers regarding in-house vs. in-transit inventory
Prepare any internal or external ad hoc special request reporting
Monitor open orders including on-time deliveries
Provide excellent service to internal/external customers
Review sales orders for accuracy
Provide insight and problem resolution to customers for any shortages
Daily review and research pertaining to incomplete shipments for immediate resolution
Daily review and research pertaining to incoming shipments needed for product releases
Daily communication with Scheduling and Production teams to schedule in priority shipments, confirm the status of current releases, research on missed ship dates, and escalation to appropriate parties
Communicate with the Procurement team where needed on passed due delivery dates or PO ETA’s
Maintain status comments on sales lines for company-wide visibility and for customer reports
Appropriate follow-through of order cancellations and changes
Order Fulfillment
Review and process incoming purchase orders for accuracy and completeness
Accelerate the execution of order fulfillment in a fast-paced environment of order fulfillment and by quickly calculating product availability and quoting accurate delivery dates based on actual supply chain status
Maintain status comments on sales lines for company-wide visibility and for customer reports
Maintain VMI processes and required updates within the program
Account Profile Maintenance
Maintain detailed customer profiles of assigned accounts
Ensure customer contract pricing and customer cross-reference information is correct and current
Monitor the status of RMA’s and ensure that they are resolved in a timely manner
International
Schedule shipments/pick-ups for international orders - Prepare shipping instructions, Commercial Invoices, Commercial Packing Lists, Shipper Export of Declaration
Fax/Email International Invoices, Airway Bills, and Packing Slips
Miscellaneous Duties
Departmental cross-training to assist as needed
Complete and follow through on impromptu projects
Resolve any shipment discrepancies
Must be able to perform all job functions of the department
Assumes absent personnel responsibility
Follow ISO/TL9000 requirements
SKILLS:
Excellent written and verbal communication skills
Excellent customer service skills
Computer proficiency of Microsoft Outlook, Excel, and Word. Attain (preferred)
Must maintain the confidentiality of customer and company information
Organized, detailed oriented, thorough, and able to handle heavy workloads and deadlines
Must be able to stay abreast with company policies, products, and services
Ability to perform general office tasks
SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibilities.
WORK ENVIRONMENT
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
PHYSICAL DEMANDS
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary. Must be able to lift up to 20 pounds.
POSITION TYPE AND EXPECTED HOURS OF WORK
This is a full-time Hybrid position. Normal business days are Monday through Friday. Work hours will be assigned in advance.
TRAVEL
Very minimal travel is expected for this position.
REQUIRED EDUCATION/EXPERIENCE
High school diploma, or GED
Minimum 3 years of data entry experience
Minimum 3 years of customer service experience
