SUMMARY:
The Payroll Administrator supports all payroll functions for United Pacific companies. The position is responsible for assisting with the entire payroll process, which includes bi-weekly payroll processing and all associated tasks. This position also assists the Payroll Specialists and Analysists with Year End payroll and Quarterly Tax tasks.
ESSENTIAL JOB FUNCTIONS:
- Assist in processing payroll, from start to finish, in ADP Workforce Now, ensuring that all 2500 employees are paid in a timely and accurate manner.
- Ensure payroll information is aligned with the ADP Time & Attendance System on a daily basis.
- With the ADP Workforce Now system, make systematic changes, as needed, including the addition of new locations, new states, new job titles and new company codes.
- Ensure all new hires are uploaded into the system on a daily basis.
- Respond to any payroll inquiries in a timely manner. Including, but not limited to: address changes, name changes, transfers, pay increases, district realignments, etc.
- Assist with Year End payroll tasks, including W2 confirmation and distribution.
- Communicate regularly with employees to ensure we have their correct information at all times.
- Place employee notifications on pay stubs.
- Process garnishments in a timely manner, responding to both the garnishing agency and the employee being garnished.
- Assist with payouts of Stipends, Car Allowances, Bonuses, and other special pay programs.
- Set up and manage any UI taxes or Local taxes for new areas of business.
- Communicate regularly with District Managers and Store Managers about payroll and HR practices.
- Meet regularly with Manager, Payroll and HR leads to discuss projects, needed assistance and upcoming task items.
- Process final checks on a daily basis – ensuring all wages are paid in a timely manner. Prepare final check hours/benefits, receive signature on check, prepare FedEx to overnight to location and communicate with
- Support Accounts Payable for the manual check processing.
- Communicate regularly with Benefits & Compensation Manager on benefit eligible employees and terminated
- benefitted employees.
- Review all payroll practices on a regular basis to ensure we are within state and federal compliance.
- Notify Benefits & Compensation Manager about upcoming minimum wage increases, as soon as knowledgeable.
- Process annual minimum wage increases according to the schedule given by the Benefits & Compensation Manager.
- Create and run payroll reports from the ADP Workforce Now system as required and requested.
- Assist with Corporate timecard adjustments as required.
- Scan employee documents and name them according to the electronic employee file system. Store them in their electronic employee file.
- Other Human Resources duties as assigned by Payroll Manager.
JOB QUALIFICATIONS:
- A Bachelor's Degree with concentration in Business Administration or a related field is a plus; Payroll
Certification or HR Certification a plus.
- 3+ years of Payroll experience is required.
- Experience in a multi-site retail environment is a plus.
- Experience handling Payroll for multi-state is a plus.
- Judgment, initiative and the ability to deal with complex relationships and ideas, and the confidence to make
timely and informed decisions.
- Excellent written and oral communications, creative problem-solving abilities, interpersonal skills which relate
well to a diverse workforce
- Strict confidentiality and sensitivity abilities, maintaining a professional appearance and providing a positive
company image to the public.
- Knowledge of multiple human resource disciplines. Knowledge of federal and state laws.
