General Summary: Payroll Specialist will oversee the full cycle of payroll functions ensuring payroll is processed timely, accurately, and in compliance with government regulations. The Payroll Specialist will also provide administrative support to the Human Resources Department.
Duties/Responsibilities:
- Process monthly, quarterly, and annual payroll, including ad hoc requests.
- Process payroll for live checks (delivered and printed in-house) and direct deposits upon request.
- Provides reports to management supporting operational and financial goals.
- Verifies timekeeping records and coordinates with managers to ensure accuracy and completeness.
- Reviews payroll prior to submission to ensure accuracy.
- Maintains and processes all recurring, monthly, quarterly, and annual bonus structures.
- Verifies and reconciles W-2s prior to issuance.
- Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Facilitates audits by providing records and documentation to internal and external auditors as required.
- Identifies and recommends updates to payroll processing software, systems, and procedures.
- Assists in the administration of health and welfare plans, including enrollments, changes, and terminations.
- Process and provide required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions in coordination with Benefits Administrator and HR Director.
- Performs customer service functions by answering employee requests and questions regarding payroll inquiries.
- Completes Forms I-9, verifies I-9 documentation, and maintains I-9 files.
- Submits online investigation requests and assists with new-employee background checks.
- Assist with onboarding new hires.
- Assists with audits of payroll, benefits or other HR programs and recommends corrective actions.
- Assists with processing of terminations.
- Assists with the preparation of the performance review process.
- Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
- Assist HR Director as requested.
- Makes photocopies, review incoming mail, scan, fax, and emails documents; performs other clerical functions.
- File documents into appropriate employee files and assists or prepares correspondence as requested.
- Complete verifications of employment.
- Prepares and maintains new-employee files as requested.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Extensive knowledge of the payroll function including preparation, balancing, and internal control.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Strong leadership skills and high level of integrity.
- Proficient with Microsoft Office Suite including advanced knowledge of Excel.
- Proficient with payroll software, human resources, or office management.

Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Must be able to access and navigate each department at the organization's facilities.
- Expected to be physically present in office five day a week.
Education/Experience:
- High School Diploma or equivalent/College Degree preferred.
- Human Resources, Business Administration, or a related field required.
- Minimum of two years of full cycle payroll experience required, three years preferred.
- Able to perform at a highly skilled level while being effective in a rapid pace environment.
