Job Description: Receiving Coordinator Ames Location

The Receiving Coordinator at our Ames location is responsible for the timely and accurate receipt and offloading of stock and special-order materials delivered to H.L. Munn Lumber Company. The Receiving Coordinator works with the Yard Manager to control all elements of the material receiving process, maximize productivity and efficiency and leverage expenses for the company. Accuracy, attention to detail, communication, follow-up and the ability to follow and manage processes and procedures are essential to the success of this position.

Responsibilities Include:

  • Manages the receipt of all products, materials, and supplies for H.L. Munn Lumber Company
  • Accurately track and records incoming shipments of stock and special-order material:
  • Evaluate product description relative to the BOL and purchase order, note discrepancies on BOL
  • Evaluate and record quantities relative to the BOL and purchase order, note discrepancies on BOL
  • Evaluate quality and condition of material, make determination relating to the receipt or rejection of material, note any modifications on BOL
  • Compare BOL information to the H.L. Munn Lumber Company Purchase order on BisTrack:
  • Contact H.L. Munn Lumber Company purchaser or salesperson with all discrepancies between the BOL and purchase order, damage, etc.
  • Forward all complete and accurate paperwork to the H.L. Munn Lumber Company Accounting Department for processing
  • Promptly unloads trucks and deliveries and sorts and stocks receivables
  • Tracks, traces, and updates the status of incoming and outgoing shipments
  • Engages with vendors and drivers with a positive attitude
  • After material is received, ensures product is labeled correctly with all pertinent information and placed in the correct location in the Yard
  • Collaborates and communicates with logistics technicians, customer service representatives, service providers, and others involved in the shipment and receipt of products
  • Maintain warehouse locator system as needed
  • Prepares required documentation when necessary
  • Maintain a clean and safe work environment
  • Data entry for BisTrack system as needed
  • Confer with all departments as needed
  • Maintain a customer service-oriented attitude, excellent mathematical, communication and analytical skills, great attention to detail and the ability to stay focused
  • Provides additional backup support for the customer service, delivery and receiving departments as needed
  • Responsible for training and supervision of full or part-time receiving personnel when required

Job Knowledge

  • Understands and follows company Material Receiving policy and procedures
  • Identifies areas of opportunities for better practices pertaining to handling of products
  • Demonstrates the ability to count and measure all received products
  • Through training obtain basic BisTrack knowledge, ability to look up SKU’s, etc.
  • Exhibits thoroughness and accuracy
  • Basic understanding of return process, knows who to take documentation too once material is verified and MRF is properly fill out
  • Works with receiver or Management to ensure vendor return POs are created at time MRF is being processed with proper restock costing
  • Tag and places vendor returns in appropriate rack for vendor drivers’ pickup
  • Identifies dimensional lumber, panels, and other basic building products
  • Ability to be selective and differentiate between cull and resalable material
  • Operates a forklift according to company standard
  • Assumes responsibility for vendor returns, creates the return PO, and contacts the vendor for pickup
  • Processes returns from start to finish
  • Utilizes vendor tracking form to assist with improving vendor performance
  • Inspects materials for damage prior to unloading if applicable
  • Validates material matches the MRF and return PO
  • Identifies specialty products (EWP, Composite decking, etc.)
  • Works with receiving and/or inventory specialist to investigate and resolve situations where inventory counts are incorrect
  • Ensures proper labeling of all special orders/vendor returns and inter-yard transfers

Safety

  • Safety gear is always utilized (seatbelt, eye protection, ear etc.)
  • Performs daily lift inspections
  • Minimal product damage
  • Keeps forklift clean
  • Operates equipment safely
  • Looks behind/honks horn when backing/rounding corners
  • Demonstrates consistency in following all company safety protocols, and encourages coworkers to do the same
  • Uses proper lifting techniques to reduce injury
  • Stacks and stores materials properly so they are stable, secure, and do not create a hazard
  • Holds coworkers accountable for following best practices with safety
  • Proactively brings safety issues to the attention of the Manager
  • Participates on safety committee as needed

  • Follows through with team for corrections needed
  • Collaborates with the manager, receiver, and accounting
  • Maintains a positive attitude and morale
  • Assists in maintaining a clean work environment utilizing continuous housekeeping
  • Works with receiving to maintain and replace unreadable labels for easy identification by yard employees
  • Encourages all team members to maintain a positive attitude and morale
  • Takes initiative or volunteers to solve issues

Communication:

  • Writes legibly on all paperwork
  • Communicates all damage or inconsistencies of material receipts with appropriate team members and customer/partners
  • Responds to voicemails in a timely manner
  • Responds to emails promptly with correct grammar and spelling
  • Has appropriate relationship with all coworkers and departments
  • Communicates cycle count variances with management
  • Regularly brings areas of concerns to yard management's attention
  • Handles oneself with professionalism during stressful situations
  • Communicates effectively both oral and written messaging to internal and external team members and our vendors

Experience/Qualifications Desired:

  • High School Diploma or GED preferred but not required
  • OSHA Certified Forklift license (training will be provided)
  • Ability to measure correct lineal footage
  • Ability to load and unload materials in a safe manner
  • Ability to read grades of lumber and other materials
  • Must be able to operate forklift, banding machine, tin snips, tape measure, power saws, hand truck, pallet jack, re-fueling stations, and any other equipment necessary for the job
  • Knowledge of receiving/inventory control principles, practices and protocols preferred
  • Acceptable driving record preferred
  • Interpersonal Skills
  • Ability to work cordially, professionally, diplomatically and with a high level of customer service in a dynamic environment
  • Display sound judgment in dealing with sensitive business matters with internal and external customers of all types
  • Ability and willingness to change processes, tools and/or procedures in an effort to improve the workplace and outcomes for our customers

Physical Requirements

  • Must be able to lift/push/pull up to 90 pounds and carry objects 50 feet
  • Must be able to stoop, bend, and walk outdoors in all weather conditions
  • Ability to utilize all appropriate safety equipment
