General Summary of Duties: Responsible for the daily Management of the client and caregiver schedules. Understands and adheres to established Athena Care at Home Scheduling Protocols and Procedures to ensure maximum client and caregiver satisfaction. Consistently demonstrates an understanding of established Athena Care at Home, policies and procedures. Demonstrates a proficient understanding of Agency scheduling and customer satisfaction goals.

Supervision Exercised: None

Typical Physical Demands: Requires prolonged sitting. Requires some standing, bending, or stooping. Requires eye-hand coordination and manual dexterity. Requires the ability to lift a minimum of 30 pounds. Requires the ability to distinguish letters, numbers, and symbols. Requires the use of office equipment such as computer, telephone, copier and fax. Requires corrected vision and hearing to normal range. Occasionally lifts and carries items weighing up to 25 pounds.

Typical Working Conditions: Work is performed in an office and possibly in client home environment. Includes frequent contact with Agency personnel, System Partners and community. Requires ability to work under stressful conditions.

Essential Duties:

  • Coordinates the scheduling of all daily, weekly and monthly service schedules using electronic MR and established systems.
  • Responsible for accurately conveying all necessary client information to caregivers to ensure optimum knowledge of the client health condition and home environment.
  • Verifies all aide visits for correct information regarding visit time, day of week/month.
  • Notifies appropriate staff of receipt and or discrepancies in authorizations service changes and revisions.
  • Produces all admission documents to meet the established agency timelines
  • Tracks critical documents impacting service, caregiver compliance,authorizations and customer service.
  • Monitors all schedule changes and follows up appropriately and timely.
  • Assist with incoming calls from main console to ensure efficient live communications.
  • Timely addresses Check-in/Check-out Notifications on a daily basis.
  • Confirms schedule visits data daily for accuracy.
  • Provides Clerical support to Operations and Management staff as needed.
  • Provides proficient computer support with use of company EMR, Micosoft Office and Athena Care at Home databases.
  • Rotates on-call responsibilities as assigned.
  • · May be called upon to perform other duties as needed.

HIPAA and Privacy: Properly direct any complaints and/or grievances as indicated per VNHSC policy. Comply with HIPAA regulations, specifically the Privacy and Security Rules. Protect personal health information (PHI), electronic personal health information (EPHI) and financial information by limiting the use and disclosure of health information and financial information to the minimum amount necessary with only those who must know how to get the job done. Follow the department’s specific policies and procedures to protect health information. Help one another to ensure confidentiality at all times.

Knowledge, Skills and Requirements: computer software, specifically, accounting principles and the ability to speak to small groups, knowledge of medical terminology.
Must be organized with attention for detail. Must maintain a high level of confidentiality and work well under pressure with little supervision. Skilled in establishing and maintaining effective internal and external working relationships. Ability to maintain confidentiality of sensitive information. Working knowledge of Windows and data entry skills. Possess adequate transportation to carry out job requirements. Adheres to Agency Corporate Compliance plan as per written agreement.

Education: Associate Degree or a minimum of three years’ experience in working in an office setting.

Experience: Previous experience Office Management, Customer Service, Telephone Sales, insurance and authorization verification in the health care environment preferred. Experience in Private Duty Home Care, Home Health Care or related environment. Strong Technical and computer experience is necessary. Strong knowledge of Office 365 software.

Certificate/License: Must have a valid CT driver’s license and Vehicle Insurance
