Office Location: Boston or Woburn (Hybrid)
The Scheduling Manager will be a member of the team responsible for scheduling within the Massachusetts offices. This individual will be responsible for managing the scheduling of assignments and utilization of staff through manager for the Audit and Business Tax teams. The individual will work closely with the Practice Group Leaders, Partners and engagement team members and must be able to work in a rapidly changing environment and provide a timely, high-quality, and accurate work product. This position requires the individual to be a critical thinker be capable of prioritizing competing requests, and making independent strategic decisions regarding the scheduling process.
Essential Duties:
- Build effective engagement teams by assigning staff to engagements based on their experience and skills.
- Collaborate with the Practice Group Leaders and work with Partners/Managers to directly to resolve scheduling conflicts.
- Communicate clearly with a high level of emotional intelligence (EQ).
- Analyze and forecast practice trends via historical and forecasted information.
- Utilize firm software to efficiently handle scheduling requests, changes, and communication flow.
- Identify inconsistencies in the schedule for proper leverage and implement process improvement to increase and maintain billable hours for Tax and Audit Staff.
- Manage requests for PTO & sick time for professional staff (via PTO Request Form) and send approval based on business and scheduling needs.
- Make the necessary reassignments for staff regarding scheduling of Tax and Audit engagements when necessary.
- Review timesheets to ensure consistency between what is scheduled and what was charged to identify low chargeability for individuals and work to correct.
Qualifications:
- 5+ years of relevant experience, preferably in a Public Accounting Firm or similar role.
- Bachelor’s degree required.
- Experience with ProStaff scheduling software and XCM a plus!
- Ability to effectively communicate with individuals of all levels.
- Excellent organizational skills.
- Ability to work independently.
- Ability to resolve conflict.
- Proficient knowledge of Microsoft Office Suite.
- Ability to multi-task items simultaneously.
- Ability to link Excel spreadsheets to work documents.
- Able to expand time commitments during periods of critical deadlines.
Preferred
- Experience working in a Public Accounting Firm.
