Your responsibilities and tasks:
- Set up Project Claim Management (Project Claim Management Plan)
- Set up the claim strategy to main business partners (e.g. customers, suppliers)
- Develop and implement policy and procedures for contract management and administration, together with Commercial Manager and Project Director
- Setup a system to maintain contractual records and documentation (document project progress, proof of events)
- Collect evidence so GEA is well prepared for any potential Mediation/Arbitration/Court proceedings
- Monitor progress, in-house, in the workshops, and on site. Track customer progress vs key milestones
- Managing of internal and external claims between all possible stakeholders, in close cooperation with the project scheduler
- Following up the Project Claim Management process during the whole project
- Assist with preparation of list of prequalified bidders for comparison, cost analysis, negotiation and awarding sub-contractors together with Procurement
Project-internal
- Involved in the creation of final project reports and summarization of lessons learned with feedback to the organization
- Steers the project's supply chain incl. procurement, delivery and ECC by Project Procurement manager
- Preparing reporting with regard to claim issues
- Participate in project review meetings
- Coordinating all claim relevant activities within the project
- Assuming responsibility for internal claim reporting (scope and frequency
Project Contract management
- Process (registration, ascertaining, documentation evaluation) inbound and outbound claims
- Participate in claim negotiations
- Offer support during the negotiation of sub-contracts
- Initiate claim resolution
- Have overall knowledge about the contract and appendices
- Involved in negotiations as well as interpretation and implementation of all contracts in projects
- Active contract management together with the Project Manager for risks and opportunities
- Following preventative Project Claim Management in sub-contract
Claim and change order management
- Preparing and substantiating claims
- Collect data, prepare analysis, evaluations etc
- Assertion of own claims and prevention of unjustified claims from/to customer and sub-supplier
- Agreement on contractual amendments with regard to the scope of supplies and services, prices, deadlines or other contractually stipulated conditions
- Preventing claims
- Defending inbound claims
- Executing outbound claims
- Preparing negotiations regarding claims (incoming, outgoing)
- Right to contribute and participate in claim meetings and claim negotiations
- Change and risk management
- Responsible for the continuous evaluation of risk and opportunities -
- Ensure the preparation, participation, progress and monitoring of claim negotiations
- Responsible for pursuing claims-related events regarding their duration, consequences and impact
- Responsible for schedule updates and schedule publication fortnightly ( through dedicated scheduler resource), and integration of this schedule with the customer schedule.
- Monitoring customer schedule and actual progress and identifying risks and opportunities related to this. Including site visits, photographic records etc.
- Monitoring fabricator and supplier timing for all critical items that could impact with penalties or time delays, and assessing how to mitigate any slippage, working with suppliers and procurement to expedite where required.(Including travel to workshops to see actual status)
- Driving the quality effort to ensure that required inspection and test procedures are in place to assure quality prior to items arriving on site.
Work with Project Director and the commercial manager to negotiate with customer on changes and claims to achieve the best outcome for GEA, whilst meeting customer requirements
Your profile and qualifications:
- Bachelor Degree preferrably Engineering
- Project Management and procurement experience
- Proven track record in claim management and disputes
- Good communication skills
- Good team working skills
- Excellent problem solving
- Analytical and negotiation skills
Skills:
- Participated in large projects with tight schedules
- General knowledge about engineering, process, fabrication and assembly.
- Strong personality, believe in herself/himself, good communicator, keep cool in busy and stressful situations,
- Hate to be late, "impatient", want others to be on time (Schedule) as well. Don't accept "we will fix it later attitude", not a "pleaser", understand to read the room and situation to avoid backfire later.
