The Referral Coordinator will act as a liaison between the referring veterinarian and GCVS. The referral coordinator must be friendly, professional and courteous, and capable of handling many tasks at once with many interruptions. They must remain calm even when clients are upset or if it is very busy. This is a fast pace position that requires the ability to handle multiple requests with grace and etiquette, good computer skills, knowledge of office equipment, ability to make changes, organization, and to be personable, quick thinking, and able to function efficiently in a high-stress environment. It is the referral coordinator's responsibility to make sure that our referring veterinarians and clients get the assistance that they need when visiting GCVS. Our referral coordinator must have at least a high school diploma and ideally 2 years of experience working as a receptionist in a multi-doctor medical practice.

Essential Duties and Responsibilities:

  • Maintains relationships with our referring veterinarian community
  • Assists referring veterinarians with any aspect of the referral process
  • Communicates with referring veterinarians via email and phone
  • Represent GCVS at referring veterinarians targeted marketing events
  • Visit referring hospitals with Referral Relationship Managers
  • Maintain referrals database
  • Oversee and maintain specialty schedules
  • Review and call new referrals to schedule
  • Monitor schedules for accuracy
  • Open/close schedules for doctor’s time off
  • Manage waitlists for departments
  • Confirm upcoming appointments
  • Coordinate specialty work-in appointments and multiple department appointments
  • Call for medical records for upcoming appointments
  • Document all communication with clients and referring veterinarians in the patient record
  • Assist Client Service Specialists as needed regarding the scheduling of new patient appointments

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
