Job Summary

Coordinate the mechanical services nationwide by processing the work orders received by area managers and contractors to ensure excellent customer service.

Duties and Responsibilities

Primary Responsibilities

  • Answer all service requests received from area managers and/or store contractors and coordinate the mechanical services accordingly.
  • Manage the work order and incident report work flow.
  • Coordinate the scheduling and management of third-party vendors\contractors and internal resources with the on-site repair.
  • Answer high volume of incoming calls and emails, pro-actively working with operations for problem resolution and monitor service response levels.
  • Provide support to field service technicians and acting as a point of contact.
  • Implement and manage the onsite services, service levels and service relations of external Field Service Locations (FSL) across the country as they relate to onsite service programs.
  • Follow up on work orders for equipment repairs to ensure work has been completed.
  • Ensure work orders for equipment repairs are billed to contractors in a timely and accurate manner.
  • Process all suppliers’ invoices for equipment parts and submit them to accounting department for subsequent payment.
  • Administrative support to equipment services management team.
  • Generate reports as per manager’s request.
  • Create metrics for client and company performance.
  • Participate/host internal and external meetings.
  • Ensure effective client communication and immediate response to client concerns.
  • Maintain customer files and database in FSL/Salesforce
  • Ensure internal and external customer satisfaction.

  • Work in compliance with Health & Safety policies and legislation, and take every reasonable precaution to protect the health and safety of all employees and business partners
  • Adhere to all company policies, procedures, and labour laws
  • Actively participate in and contribute during meetings, sessions, or company projects
  • Protect company assets from damage and misuse
  • Perform other related duties as may be required from time to time
  • Oversee and audit service specialist work if necessary
Job Requirements/Expectations

  • Requires general understanding of business processes plus general accounting knowledge. Normally would be gained in a college Accounting/Business program.
  • Must have accurate data entry skills & superior knowledge of Word/Excel.
  • Ability to work effectively with Accounting Packages.
  • Excellent customer service abilities.

  • 3-5 years PC experience including spreadsheets and MS Office
  • Excellent interpersonal skills
  • Self motivated.
Education and Experience

  • Post secondary education preferably College degree in accounting.
Minimum 5 years experience in accounting or related field
