SUMMARY:
The Executive Assistant will be responsible for contributing to both the strategic direction and the day-to-day operations of the firm by effectively supporting the Chief Operating Officer (COO) and Chief Strategic Projects Officer (CSPO).
ESSENTIAL FUNCTIONS:
- Provide highly confidential and complex administrative support to the COO and CSPO.
- Provide extensive calendar management for the COO and CSPO, including coordination with larger firm leadership groups such as the Executive Committee, Practice Group Leaders, and Chief Officers.
- Organize complex activities such as multi-part meetings and retreats, including travel arrangements, vendor contracts, and budget and expense management.
- Contribute to the smooth and timely completion of business operations by maintaining agendas, taking, and distributing meeting minutes, and following up on action items from leadership meetings.
- Create and produce a variety of correspondence and presentations to support business and leadership needs.
- Maintain a procedures manual and ensure consistent performance of routine firm leadership processes.
- Act as an information resource to other members of the firm needing information or direction related to executive team protocol and procedures.
- Contribute to key initiatives by supporting confidential or highly complex administrative projects or administrative duties upon request.
- Perform other tasks as necessary to facilitate the work of the COO and CSPO.
QUALIFICATIONS:
- Advanced administrative skills and a high level of integrity and professionalism.
- Minimum of two years of experience providing administrative and project support for senior management, preferably in a legal or professional services setting.
- Exceptional oral and written communication skills and the ability to effectively communicate workflow and project updates.
- Strong time management, prioritization, analytical, problem-solving, and organizational skills.
- Excellent interpersonal skills and the ability to build relationships with a variety of stakeholders, both internally and externally.
- Sound judgement and the ability to maintain confidential information.
- Flexibility and capacity to respond calmly, efficiently, and effectively in all situations.
- Ability to work independently with limited direction and work collaboratively with relevant stakeholders.
- Highly proficient in MS Outlook, Word, PowerPoint, and Excel as well as basic computer and database management skills. Willingness to learn new technology as needed.
The expected salary range for this position is $90,000 - $118,000 annually. Actual pay will be determined based on experience and other job-related factors permitted by law. Wolf Greenfield offers a comprehensive benefits package.
