We are seeking an individual, who has demonstrated a willing commitment to these values, holding them in high regard, to join our team as a pat time Records Clerk within Administration.
The purpose of this position is to collect, validate, and organize records in order to make them available to internal and external customers, to the extent allowed by law. Dissemination of records is accomplished by open records request received from the public. Other duties include greeting customers, answering phones, data entry, scanning documents and records, manually and electronically filing records, processing paperwork, faxing or mailing records, and interacting with other City employees and citizens. This position does not provide direction to other employees.
This position will work 25 hours per week, 8 a.m. - 1 p.m., Monday through Friday.
- Provides premier customer service to internal and external customers by responding to requests in a timely and professional manner. Assists the public by providing information in person and over the telephone; responding to requests for information; pulling, faxing and delivering records; and explaining the process for requesting specific types of records.
- Responds to requests from the public, law enforcement officials and the criminal justice community by determining the requestor’s right to information, accessing one or more databases, interpreting responses, pulling and copying files, processing information in accordance with laws. Collects, fees and track requests.
- Maintains records and information in accordance with the City of Cedar Hill records retention schedules by entering, modifying, deleting and confirming information; ensuring accurate processing of records to satisfy audit requirements; verifying completeness and accuracy of information; comparing new records with existing records; conducting research as necessary and maintaining files.
- Regularly assists City Secretary with special projects.
- Provides administrative support by scanning documents, typing and processing correspondences, forms and reports, preparing and maintaining computerized records, ensuring records are current and accurate, prepares and maintains files, updates web page.
- Regular and reliable attendance required.
- Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge equivalent to four years of high school.
- At least one year of related experience required.
- Valid Texas Driver's License (Class C), Texas Public Information Act training required within 30 days of hire.
