The Position

We are currently expanding our team, and we are seeking a well-rounded multifaceted executive assistant applicant with good communication and detail-oriented skills, a willingness to learn, and a drive to move into other positions. Attitude is key to us, and we are willing to train the right person into more advanced positions.

The selected candidate will work with a team of two personal assistants that are with the CFO throughout the day, and reporting back pertinent information back to them. Our environment is extremely fast paced, and our CFO pivots very often. Goals, plans and priorities change on an hourly basis at time, and the ideal candidate is someone who thrives in agile environment such as this.

We have a great work environment and a close-knit team of 85 which has expanded rapidly over the last 8 months. Once past your probationary period, we have room for advancement into other positions and more senior roles in time.

Job responsibilities will include:

  • Plan meetings and take detailed minutes
  • Light reception duties
  • Some Customer Services duties
  • Write and distribute email, correspondence memos, letters, and forms
  • Following up with tasks on an ongoing basis and making sure they're completed in the necessary timely manner.
  • Assist in the preparation of regularly scheduled reports
  • Provide general support to visitors
  • Finding ways to improve administrative processes
  • Writing and issuing emails to teams and departments on behalf of teams or senior staff
  • Update and maintain policies and procedures
  • Electronic and physical document management
  • Various data entry duties as needed
  • Other Administrative duties as required

Qualifications and Experience:

  • A degree or diploma in Business Administration or equivalent in a relevant field
  • experience as an executive assistant or other related positions, C-suite EA experience is considered an asset.
  • Impeccable organizational skills
  • Advanced Microsoft Office, especially Excel.
  • Exceptional time management skills.
  • Flexible with change
  • Strong communications and interpersonal skills.
  • Ability to handle sensitive and confidential information appropriately.
  • Ability to quickly learn systems, processes, and procedures.
  • Strong initiative and follow through with tasks or projects given
  • Excellent organizational skills; attention to detail.
  • Quickbooks experience is considered an asset

Salary: $55,000.00-$65,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
